Privacy & recordings
Setup collects your contact details, business information, chosen languages and notification preferences to configure your receptionist. Calls can produce caller details, transcripts, summaries and, when enabled and permitted, recordings. Your client space also stores leads you add.
Who processes the information?
AI Receptionist uses Stripe for payments, Vapi and its configured voice, transcription and AI providers for conversations, Twilio for telephone service and text alerts, Resend for email, and Clerk for client login. Data needed to provide those services is handled by those providers. Stripe handles card details through its secure checkout.
How recording works
Recording is enabled by default in business setup and can be switched off. Ordinary Canadian calls receive an upfront recording-and-sharing notice. Sensitive services or consent uncertainty use an explicit permission question. Callers can decline or withdraw permission and still get help. An objection stops recording and prevents its private sharing.
Call notes and recordings may contain personal information. Only collect what your business needs. Do not put passwords, payment-card numbers or private customer records in the setup form. For the public phone demo, use fictional details; recording and transcript artifacts are disabled for that demo, but telecom and AI providers still process the call.
Private links and deletion requests
Call-report links expire after seven days. Anyone with a valid private link can access that report, so do not forward it. Link expiry does not delete business or provider records. For access, correction or deletion requests, email support. Include enough information to identify your account or call, but do not email sensitive call contents or passwords. We may need to verify your identity.
Billing & cancellation
There is no monthly membership fee for new or existing customers. A card is required for usage billing. Connected AI call time costs C$0.09 CAD per minute from activation. Stripe signup must be confirmed before automated setup begins. The number is emailed only after setup checks succeed; provider delays can extend activation time.
When you authorize usage billing at signup, your saved card is charged C$10 after completed calls whenever unbilled usage reaches C$10. Multiple usage payments can occur in a month. The remainder carries forward and is not charged again with membership. No smaller final usage charge is collected automatically.
Example, with no previous usage balance: 100 connected minutes incur C$9 of usage. No usage payment is collected yet; C$9 carries forward toward the C$10 payment threshold. Membership is C$0 every month. Total service costs are C$9, before any applicable taxes.
Cancel your membership online
Sign in securely with your billing email, choose your subscription, and confirm cancellation. Cancellation takes effect immediately, and your receptionist number is automatically deactivated as we process Stripe’s confirmation. Turn off call forwarding with your carrier so calls return to your usual voicemail.
Cancel membershipNo support request is needed. If you cannot access your billing email, contact support for help. Turning off call forwarding alone does not cancel the membership.
If a payment-status page cannot verify your order, check your Stripe receipt and contact us. Do not pay again just because setup is delayed. Your phone carrier controls call forwarding and any carrier charges.
Refund requests
For a refund request or a disputed charge, email support with your business name, setup email, payment date, receipt reference and a short explanation. Never send your full card number.
A request does not automatically issue a refund. Contact us to confirm refund terms before paying if a particular refund arrangement is important to you. There is no monthly membership fee. Connected call usage is chargeable. No money-back guarantee is advertised.
